Product basics

What does DocuLume do?

DocuLume is an AI document intelligence and contract lifecycle management platform. It reads your documents, extracts the specific data fields you define, makes everything searchable, lets you ask questions of your documents in plain language, and manages contracts through review, approval, e-signature, and renewal. Do I need to install anything?

No. DocuLume is fully web-based. Sign in at app.doculume.com from any modern browser.

What kinds of documents work best?

DocuLume is optimized for business and legal documents — contracts, agreements, invoices, statements, forms, and reports. It handles both digital (text-based) and scanned/image documents through built-in OCR.

Documents & extraction

Which file types are supported?

PDFs (including scanned PDFs), common image formats, and office documents. Scanned files are run through OCR automatically so their text becomes searchable and extractable.

How accurate is the extraction?

Accuracy depends on document quality and how well your extraction prompts are written. Because you define fields with plain-language prompts, you can tune them to your documents over time. Chat answers and extracted values are grounded in the source text with citations so you can verify them. For tips, see Writing effective extraction prompts.

Can I extract custom data points specific to my business?

Yes — that's the core of DocuLume. Define any custom field (text, date, number, currency, list, boolean) with an extraction prompt describing what to find. New uploads populate it automatically, and you can re-evaluate existing documents against an updated prompt.

How long does processing take?

Most documents process in well under a minute. Large or image-heavy files take longer because OCR runs page by page. You don't have to wait on the page — DocuLume notifies you when processing finishes.

Can I upload many documents at once?

Yes. Use Bulk Upload to ingest many files directly or import from connected cloud storage (e.g. Azure Blob or S3). You can preview the file list, start a background job, and track or cancel it. See Bulk processing.

Security & privacy

Is my data secure?

Yes. Data is encrypted in transit (TLS 1.2+) and at rest (AES-256). Access is governed by role-based access control and workspace isolation, and activity is audit-logged. See our Trust Center and Privacy Policy for details.

Is DocuLume SOC 2 compliant?

DocuLume is built and operated against SOC 2 controls. For current compliance status and to request reports, visit the Trust Center or contact us.

Is my data used to train AI models?

No. Your documents are processed to deliver the service to you; they are not used to train foundation models. Refer to the Privacy Policy for the authoritative statement on data handling.

Can other workspaces or customers see my documents?

No. Each workspace is logically isolated, and within a workspace, access is restricted by role and folder-level permissions. You only ever see documents you're authorized to access.

What happens to my data if I cancel?

You can export your data, and we delete customer data on offboarding per our retention policy. Contact support@pspinsights.com to arrange export or deletion.

Contracts & e-signature

What is contract lifecycle management, and do I have it?

It takes a contract from the moment somebody asks for it through drafting, approval, signature, and on to renewal, recording every step. It is a separately licensed module rather than part of the base product, so it appears only if it is included in your plan and your administrator has enabled it. Nothing else in DocuLume changes if you don't have it. See Contract lifecycle management.

Do the people signing need a DocuLume account?

No. Signers receive an email with a link that takes them straight to the document. They never need an account or a licence.

What happens if someone declines to sign?

The contract moves to Draft and the approval workflow closes. The reason the signer gave, if they gave one, is kept with the record. To carry on you start a new signature request or submit once more — the earlier one stays in the history.

Where do the signed document and the signature certificate go?

Both are stored against the contract automatically, with no need to re-upload anything. The signed PDF becomes the version shown wherever the contract appears, and the certificate records who signed, when, and from where. The executed document is then read and indexed like any other, so its terms are searchable.

Can I chase or cancel a signature request?

Yes. While a contract is out for signature you can send a reminder to anyone who hasn't acted, or cancel the request outright. There is also a refresh option that re-checks the status with the provider.

Do all our contracts have to go through an approval chain?

No. Your administrator decides the route for each type of agreement. Standard one-way NDAs can use the fast lane, which goes straight to signature with no approval step, while higher-value agreements can require several approvals. See The NDA fast lane.

What happens to our existing contracts?

Nothing. Contracts already in DocuLume stay outside the lifecycle and behave exactly as they do today. They are only brought in if you choose to.

Why can't I send a contract for signature?

Some actions depend on where the contract has got to — a contract still in drafting can't be sent for signature, for example. Check the lifecycle state shown on the contract. If it looks right, check with your administrator that an e-signature provider has been connected and that you hold the permission to send.

Accounts & access

How do I invite teammates?

Workspace admins invite members by email from the team settings. Invitees receive a link to set up their account and join the workspace with an assigned role.

Does DocuLume support single sign-on (SSO)?

Yes — SAML 2.0 SSO is supported. Your administrator configures your identity provider; users then sign in with their work credentials. See Configuring SAML SSO.

Does DocuLume support two-factor authentication?

Yes. You can protect your account with a code from any standard authenticator app, such as Microsoft Authenticator, Google Authenticator, or 1Password. Set it up under Settings → Security. The QR code is generated inside DocuLume and is never sent to an outside service. You also receive single-use backup codes for the day you don't have your phone. See Securing your account.

I've lost the phone with my authenticator app.

Use one of the backup codes issued when you set up two-factor authentication; each works once. If those are gone too, an administrator in your organisation can reset two-factor authentication on your account. For security, our support team cannot do this for you.

Why is my account locked?

Repeated failed sign-in attempts lock an account for a short period, and continued failures lock it until an administrator unlocks it. This limits the damage if somebody tries to guess a password. Wait for the timer to clear, or ask your administrator to unlock the account.

I forgot my password.

Use Reset password on the login screen. You'll receive a secure link by email to set a new one. (SSO users sign in through their identity provider and don't manage a DocuLume password.)

How are roles and permissions managed?

Admins assign roles (Admin, Manager, Member, Viewer) and folder-level permissions through role-based access control. See Workspaces & roles.

Integrations

Can I get alerts in Slack or Microsoft Teams?

Yes. Connect Slack or Teams under notification settings to receive alerts for job completion, workflow tasks, renewals, and more. See Connecting Slack & Teams.

Can I send contracts for e-signature?

Yes. DocuLume integrates with an e-signature provider so you can send, remind, cancel, and download signed contracts without leaving the platform. See E-signature.

Does DocuLume support webhooks?

Yes. DocuLume can notify your systems in real time when key events occur — for example, when a document finishes processing, a bulk job completes, a workflow task is assigned, or an e-signature status changes. Configure a destination URL in your workspace settings to receive these events and keep downstream tools in sync. Contact support@pspinsights.com to set up and verify webhook endpoints.
